Automated cabinets and trolleys for medication management: what they are and how they work

Digital transformation in healthcare is not just about clinical software or electronic records. One of the most tangible innovations plays out in medication and device management: tracking them, stocking them properly, and dispensing them efficiently is more important than ever. In this context, automated cabinets and carts become true allies in improving organization, reducing errors, and supporting healthcare personnel.

What are automated cabinets and trolleys

Automated cabinets and carts are furniture with an integrated management software capable of guiding and tracking each phase of the medication’s path: from its introduction in the healthcare facility to unit-dose patient distribution.

The intelligent system covers the entire logistics cycle: from inventory and reorder management, through expiration monitoring, tracking of movements between central pharmacy, ward pharmacy, and carts to ensure accurate and safe medication dispensing.

The end goal is that each drug is tracked, stocked, and managed through its entire lifecycle, reducing waste, errors, and shortages.

Everyday use of automated cabinets and trolleys

The entire process is guided by the management software, based on a labelling & identification system – and it is the same for both trolleys and  cabinets. This is how it works:

  • Storage: the user scans the QR code of the incoming medication, and the system indicates with an LED light where to store it. The cabinet door is unlocked only if the operating user is authorized.
  • Withdrawal: the user searches for the medication in the management system. An LED lights up inside the cabinet where the corresponding basket is positioned, or next to the cart drawer where the searched drug is located. After the QR code on the furniture is scanned, the authorized user sees an LED light that signals the location where to take the searched medication. The user then scans the QR code of the searched drug and confirms on the hand-held device the withdrawal; then they also need to confirm the closing of the cabinet door / trolley drawer.

There is an accurate track record of each movement: who took what, when it happened, from where and for whom.

Automated cabinets and trolleys: details that make a difference

The automated cabinets are modular and available in different configurations (single, double or with 4 compartments). They are equipped with glass doors to allow the visibility of LEDs that guide the user in finding and placing the drug. They can be equipped internally with a safe for special medication that must be stored with a multi-level protection.

The automated trolleys designed by CFS Italia are used to bring medication to each ward. Mobile, lightweight and easy to maneuver, they are synced with the same software system that controls the cabinets, guaranteeing step by step tracking of the medication.

Both cabinets and trolleys support baskets and cassettes compatible with ISO norm.

Automated cabinets and trolleys: is this the right choice for you?

Not all healthcare facilities need an automated medication management system, but for lots of them, it can make a real difference. Some examples:

  • large facilities, with multiple pharmacies and wards, managing high volumes of medications;
  • new facilities that want to get started with a digital and integrated infrastructure;
  • clinics and hospitals under renovation that want, minimize errors, and optimize time.

Key benefits of automated cabinets and carts by CFS Italia

In addition to the standard benefits – less errors, traceability, inventory control – solutions by CFS Italia offer:

  • simultaneous access for multiple users, with differentiated profiles and permissions;
  • management via mobile interface (hand-held device), without restrictions of fixed workstations;
  • remote assistance to ensure timely technical support;
  • possibility to manage non-pharmaceutical tools and materials as well;
  • a single integrated platform for cabinets, trolleys, refrigerators, and more, including web access for logistical functions and reporting.

Towards an integrated digital system for medication management

Investing in automated cabinets and carts is not just about buying new furniture – it is about transforming the way medication are managed, focusing on safety, efficiency, and digitization. It is a concrete step toward a more modern, accurate and sustainable healthcare. For more info or a no obligation quote, contact us at commerciale@cfsitalia.com.
